1. Who we are

Kairo HR is operated by Naga Perla, based in London, United Kingdom. We are the data controller for personal data collected through this website. You can contact us at contact@kairohr.co.

2. What we collect

When you ask to talk to our team we collect:

• Your name and work email address (required).
• The times you're available for a call, and your time zone.
• If you choose to give them: your company, role, company size, how many interviews you run each month, how you schedule them today, and any message you add.
• The page you came from and any campaign tags in the link you followed (for example, utm_source), so we know which channels work.

When you visit the website, our hosting provider automatically processes technical data such as your IP address, browser type and the pages requested, to deliver the site and keep it secure.

We do not use analytics or advertising trackers on this website.

3. How and why we use your data

• To arrange and prepare for your call: we email you a confirmation of the times you shared, alert our team so we can reply, then confirm a time and follow up afterwards. Our lawful basis is legitimate interests: you asked us to contact you.
• To understand demand, using company size and interview volume in aggregate to decide what to build. Our lawful basis is legitimate interests.
• To run and secure the website, using technical data. Our lawful basis is legitimate interests.

We never sell your personal data and we don't use it for automated decisions that affect you.

4. Who we share it with

We use a small number of trusted service providers who process data on our behalf, under written contracts:

• Supabase, which stores call requests in a London, UK data centre.
• Resend, which sends our emails, including the confirmation you receive and the alert our team receives. Resend is based in the United States.
• Netlify, which hosts this website and processes technical request data. Netlify is based in the United States.

If we add other providers, we'll update this list. We may also disclose data if required by law.

5. International transfers

Where a provider processes data outside the UK, as Netlify and Resend may, we rely on appropriate safeguards such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or UK adequacy regulations, to protect your data.

6. How long we keep it

We keep call requests for up to 12 months, or until you ask us to delete them, whichever comes first. If you become a customer, our customer privacy terms will apply. Hosting logs are kept by our provider for a limited period for security.

7. How we protect it

Data is encrypted in transit and at rest. Requests can be sent from the website but cannot be read back by the public; access is limited to the people who run the service, using multi-factor authentication.

8. Your rights

Under UK GDPR you have the right to access your data, correct it, have it deleted, restrict or object to its use, move it to another service, and object to how we use it. To use any of these rights, email contact@kairohr.co. We'll respond within one month.

If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We'd appreciate the chance to put things right first.

9. Children

Kairo HR is a business tool and this website is not intended for anyone under 18.

10. Changes to this policy

We'll update this page if our practices change and revise the date at the top. If a change materially affects how we use your data, we'll make that clear on this page.
